Despite the plethora of workflow automation tools available, there's still a superhero without a cape who makes a lot of team magic happen – The Project Manager.
Ironically, as companies adopt more tools, the list of tedious maintenance tasks grows longer. Even with specialized tools like Jira, Confluence, Bitbucket, Slack, Trello, Asana, ClickUp, and Pendo, they operate in silos.
The superhero steps in but finds their role shifting from empowering teams to managing projects, individually contacting team members for updates, consolidating information into reports, and communicating with stakeholders — not to mention the follow-up meetings needed to "bring me up to speed." Action items from these meetings add more tickets and updates, creating another layer to track.
Manual project updates are often descriptive rather than predictive or prescriptive. By the time a decision-maker understands a report, risk factors and strategy might have already changed, especially in a fast-paced environment. Imagine being a project professional at OpenAI, Google, or Space X. Could you afford to delay information by 1-2 days, or even a few hours?
The lack of real-time, consolidated data makes it difficult for project managers to get a holistic view of project health. They end up reacting to issues rather than spotting trends and making proactive decisions that mitigate risks and propel organizational progress.
Error-prone siloed information is a major pitfall of manual status reporting. The collected data is often incomplete or lacks context, making it unreliable for decision-making.
As a lead Technical Project Manager, I frequently had to provide extensive context and clarification to cross-functional leaders during status update meetings. They rely on intuition and best guesses when faced with critical choices around resource allocation, budgeting, and timeline adjustments, introducing risks. A significant amount of time is spent collecting and processing data, instead of spotting trends and making actionable recommendations.
The shortcomings of manual status reporting demonstrate the need for automated data collection and consolidated reporting. Real-time project reporting tools recognize the challenge of capturing comprehensive data, and offer real-time consolidated project reporting to empower PMs with actionable insights and streamlined operations.
In a digital agency, reporting is critical to the client experience. I tried several reporting tricks to handle more clients. Some worked, some didn’t; none could satisfy the need for real-time status updates, leaving me on edge, hoping a new Slack or Atlassian update wouldn’t break the integration.
After over five years of working with executives, I know they care about whether we're on track to complete the project on time. If not, how much more time and money do we need, and what’s the confidence level in the new information? While some automation tools like Slack webhooks and app integrations can provide real-time information, they are not scalable and require a project manager to maintain multiple integrations, which is time-consuming.
